1. Position and Responsibilities

Trainers are responsible for conducting regular classes as per the agreed schedule.

Trainers must conduct free trial classes and submit trial class reports.

Trial Class Confirmation: Trainers must confirm trial class attendance at least 1 hour before the scheduled session.

Calendar Invite Acceptance: Trainers must accept calendar invites for trial classes as a mandatory attendance requirement.

Trial Class Recording & Report Submission: Trainers must record every trial class and submit the trial class recording and report immediately after the session.

Participation in mandatory internal events and meetings.

Providing feedback for student review meetings is expected.

Trainers should contribute to promoting the School on social media.

Communication via email and WhatsApp must be maintained professionally.

Trainers may be required to act as examiners for half-yearly assessments.
2. Working Hours and Class Schedule

Classes will be scheduled based on mutual availability, accommodating students across various time zones.

Trainers must be available for classes on either Saturday or Sunday, as required.

Flexibility in IST mornings or late evenings may be required to accommodate students from the U.S., Canada, and Europe.

Make-up classes for missed sessions (either by the trainer or student) must be completed within the same billing cycle.
3. Attendance and Uninformed No-Show Policy

Notification Requirement: Trainers must inform the school and the student at least 1-2 hours before class if they are unable to take a class.

Exemptions: Absences due to medical emergencies or unforeseen circumstances will be considered, and no compensation is needed from the trainer in such cases.

Compensation: After one warning, an Uninformed NO SHOW class, without a valid reason will result in the trainer taking a free compensation class.

Purpose: This policy ensures accountability, respect for the student and parent's time, and a consistent learning experience for all students.
4. Class Documentation & Compensation

The payment structure outlined during onboarding for new trainers and during Annual Trainer Performance Review meeting for existing trainers remains in effect.

No payment will be issued for free trial classes.

Trainers must update the class attendance log (Excel workbook) daily to record class dates accurately.

Payments are processed monthly on or before the 5th, after confirming the Monthly Session Report.
-
Changes made after the monthly report is generated will NOT be reflected in that billing cycle.
5. Performance & Conduct

Trainers must uphold professionalism, punctuality, and high teaching standards.

A minimum of 4-5 student's sessions per week is required, with a suggested maximum of 15 students.
6. Social Media Content

Trainers are expected to collaborate with the School’s content team to create social media content as part of their role.

Creative Input & Approval: Trainers may be asked to provide video/audio clips, lesson insights, class recordings or behind-the-scenes content related to their teaching. Content will be planned collaboratively, ensuring alignment with the school's brand and mission.

Content Formats & Frequency: Participation may involve short reels, Q&A sessions, student performance showcases, or educational content on music techniques. The expected frequency of contributions should be clarified (e.g., once per month, biweekly).

Recognition & Branding: Trainers will be credited appropriately for their contributions, with opportunities to build their professional presence through the school's platforms.

Opt-In for Marketing Campaigns: Trainers may be invited to participate in special campaigns (e.g., festival-themed music series, behind-the-scenes teaching insights). Participation in promotional campaigns will be optional but encouraged.

Confidentiality & Usage Rights: Any content created for Sankeerthanaa School of Music remains the property of the school and may be used for marketing, social media, and promotional purposes.

Compensation for Content Creation (For Long-Term Trainers)

Regular Social Media Participation: Short contributions like reels, Q&A videos, or quick tips may be expected as part of the trainer’s role, without additional compensation.

Time-Intensive Content: Trainers involved in longer content projects (e.g., detailed tutorials, masterclasses, or multi-session recordings) will be compensated based on effort, time commitment, and content scope.

Eligibility for Compensation: Only trainers who are contributing content related to events they curate (e.g., masterclasses, workshops, emceeing) and have been with the school for more than one year will qualify for paid content projects.

Payment Structure: Compensation for extensive content creation will be determined on a case-by-case basis and agreed upon before content production begins.

7. Engagement & Communication Responsibilities

Trainers must provide periodic feedback on students and participate in student assessment activities and meetings.

Attendance at Quarterly Retrospective Meetings, Trainer Orientation and Annual Trainer Performance Review Meetings is mandatory.

Active participation in School events, workshops, recitals, and competitions is encouraged.
8. Communication Standards

Trainers must maintain timely and professional communication with students, parents (where applicable), and the School via email and WhatsApp.

Trainers must update the school at least 2 weeks in advance if they plan to take a long break or have gig commitments that may affect their availability. Failing to do so will result in pay cut.

Trainers must respond to messages from Sankeerthanaa within 24 hours to ensure smooth coordination and student management.

Effective communication is crucial for an online business—timely updates and responses help maintain professionalism, build trust with students and parents, and contribute to a seamless learning experience.
9. Notice Period

Trainers wishing to terminate their contract must provide at least one month’s notice for student reassignment and smooth transition.

Failure to provide notice may affect final compensation.
10. Confidentiality & Intellectual Property

Trainers must maintain the confidentiality of all student information, class content, and proprietary materials.

Any content created for or on behalf of the School (e.g., course materials, assessments, social media contributions) belongs to the School.
11. Governing Law
-
These terms and conditions are governed by the laws of India/Tamil Nadu. Any disputes will be subject to the exclusive jurisdiction of the courts in India/Tamil Nadu.
12. Acceptance
-
By continuing as a trainer, you acknowledge that you have read, understood, and agree to comply with these terms.
